Turn the guest list into individual movements
Group guests by starting point, required arrival time and final drop. Keep airport arrivals, hotel transfers and the return after the event as separate movements. A guest list alone does not show how many cars must be available at the same time.
Calculate capacity without assuming a fleet
GoZevv’s currently available electric car carries up to four passengers, with luggage fit checked separately. For example, twelve guests travelling together need at least three four-passenger cars before considering bags or separate schedules. That calculation does not establish vehicle availability; request and confirm each required movement.
Agree on venue access and collection points
Ask the venue where booked cars may wait and collect guests, and whether entry needs advance details. Give the team the correct entrance and an event coordinator’s contact. Leave time for walking from the event space to the car rather than setting pickup at the programme’s exact finishing minute.
Prepare for different finish times
Some guests may leave early while others stay longer. Set clear pickup windows and identify who can approve an extra journey or additional waiting. A single return time should not be treated as a promise that all cars can wait indefinitely.
Keep the scope and guest information clear
Request a complete event quote covering vehicles, stops, waiting and parking. Share only the guest information needed to coordinate travel. A cab arrangement does not include security, crowd control, protocol access or airport fast-track assistance unless separately agreed with an appropriate provider.
